The new version of Comarch ERP Optima – over 70 improvements for business and accounting

The latest version of Comarch ERP Optima 2025.5.1 features significant improvements to key system modules, significantly increasing the efficiency of HR, accounting, sales, and accounting departments. New functionalities simplify daily tasks, ensure better regulatory compliance, and support preparations for upcoming legal changes.
System news in the Payroll and HR module
Comarch ERP Optima version 2025.5.1 brings significant improvements to the Payroll and HR module, which significantly improve the work comfort of HR and accounting departments and enable more precise settlements that are compliant with current regulations.
Generating ZUS Z-3a and Z-3b certificates in XML format
One of the key improvements is the ability to generate ZUS Z-3a and Z-3b contribution payer certificates in XML format. This functionality significantly simplifies the submission of documents to the ZUS Electronic Services Platform (PUE ZUS), eliminating the need for manual data entry.
In practice, this means that certificates can be generated directly from a list of employees or contractors, specifying any period of absence and income. Before saving the document, data can be edited, allowing for corrections and adjustments to the actual status. These XML files can then be easily imported into the ZUS system, significantly streamlining the daily work of the HR and payroll department.
Working in different working time zones – precise salary reductions
Another significant change is the improved mechanism for reducing pay in the event of an employee’s absence performing tasks in different work time zones. In version 2025.5.1, proportional and 1/30th reductions are now calculated according to the actual planned work time zone for the day of absence.
Civil law contracts in currency – net and gross settlements
For civil law contracts where remuneration is denominated in a foreign currency, the ability to specify whether the contract amount is net or gross has been introduced. The program automatically converts gross values based on the exchange rate, also taking into account the specifics of calculating taxes and Employee Capital Plans (PPK) contributions.
Furthermore, a function has been added for exporting and importing contracts in foreign currencies in net amounts using both Excel files and the Migrator tool. This simplifies integration with external systems and improves data quality during migrations and updates.
Printout of the official confirmation of submission of the ZUS DRA declaration
Another new feature is the ability to print an Official Submission Confirmation (UPP) for ZUS DRA declarations sent directly from Comarch ERP Optima. This is an important tool confirming that the declaration has been correctly submitted to ZUS, which is particularly important in audit and control processes.
What’s new in accounting – improvements and convenience for accounting offices
New possibilities for sending documents to accounting office clients
The latest version of Comarch ERP Optima 2025.5 introduces a feature that allows accounting firms to send complete sets of documents to their clients, such as printouts of advance payments, declarations, and JPK_V7 files, along with accounting entries and VAT records. Integration with the Comarch ERP XT Start application (formerly Comarch Moje BR) makes communication between the firm and the client faster and more efficient, and gives clients full access to essential settlement information.
Automatic generation and archiving of printouts
Another new feature is the automatic creation of document printouts upon approval of declarations and advance payments. These printouts are saved in the “PRINTOUTS_FOR_CLIENT” directory in the Document Flow module, and the operator is notified of their preparation. The system marks the printouts with a special attribute, ensuring that only approved and current documents are sent to the client. If changes are made to declarations, the system automatically removes the appropriate markings, preventing the transmission of outdated data.
Easy update of JPK tags from an Excel file
Comarch ERP Optima 2025.5 also streamlines the process of assigning JPK tags to accounting accounts. Users can now export the chart of accounts to an Excel file, complete the tags in accordance with applicable regulations, and then import the data back into the system. This process allows for quick and precise account tagging, facilitating the generation of standard audit files. The system allows for both adding new tags and updating existing ones, verifying data accuracy based on the Collection of Designations and Symbols (ZOiS).
Important changes in the Cashier/Bank area
The latest version of Comarch ERP Optima 2025.5 features a number of improvements and new functionalities that enhance the user experience. These changes encompass both the general area and the Cash/Bank module, including new printing options, additional security features, and updates related to bank integration.
ChatERP – intelligent assistance in everyday work
The new Comarch ERP Optima 2025.5 release significantly expands ChatERP, an AI-powered virtual assistant. The system prompts ready-made questions, suggests subsequent ones based on the context of the conversation, and allows for the evaluation of responses – making it a practical tool for both beginners and advanced users. This significantly simplifies everyday use of the system.
Export to Word and Excel – greater reporting flexibility
A new feature is the ability to save sPrint printouts to Word and Excel files. This allows statements, reports, and customer data to be easily edited outside the system, without the need to manually copy data from PDF files. This is a convenient solution for analysis and reporting departments.
Bank integration with the option to set waiting time
A new parameter has been introduced to allow you to set the waiting time for a response from your bank when importing statements. This change improves the stability of integration with banks (e.g., mBank, Santander, PKO BP) and reduces errors, especially when managing multiple business accounts.
Automatic assignment of PESEL in JPK_V7
Handling of PESEL numbers in JPK_V7 files has been simplified. The system automatically assigns a contractor based on the PESEL number or marks it as “UNDEFINED” if the appropriate card is not present. This is a significant improvement for documents relating to individuals.
New functionalities in the Trade module – easier work and preparation for legal changes
The latest update of the Comarch ERP system includes important improvements that are aimed at both increasing the efficiency of purchasing processes and preparing companies for upcoming legal changes regarding deposit-backed packaging.
Linking purchase invoices (FZ) with approved order documents (ZD)
One important feature is the ability to link purchase invoices stored in the buffer with previously approved supplier order documents. This option applies to invoices entered automatically via Comarch OCR or downloaded from the National e-Invoice System (KSEF), as well as invoices entered manually—provided they have not been previously linked and are still in the buffer.
The linking process is conveniently performed using a dedicated wizard, which can be launched from the invoice list or directly from the purchase invoice form. The wizard presents a list of potential order documents that meet the matching criteria—including those regarding the supplier, warehouse, currency, VAT algorithm, and document status. Once the appropriate orders are selected, the items are automatically linked.
This improvement allows for precise document linking, facilitating inventory control and purchase settlements, while also minimizing the risk of accounting and logistical errors.
Handling of deposit-backed packaging – preparation for legal changes from October 2025
In response to new regulations issued by the Ministry of Climate and Environment, which will take effect on October 1, 2025, the Comarch ERP system has been enhanced with features supporting the management of deposit-refundable packaging. The new regulations require the collection of deposits for three types of packaging: single-use plastic bottles up to 3 liters (PLN 0.50), metal cans up to 1 liter (PLN 0.50), and reusable glass bottles up to 1.5 liters (PLN 1.00).
The system now offers the ability to batch-change deposit-refundable packaging templates for product records, as well as the ability to set deposit payment calculations for contractors. These features will significantly facilitate the adaptation of warehouse and sales processes to new legal requirements and improve the automation of deposit-related settlements.
Preventive stamp and new prints in the sPrint system
Another new feature is the ability to print a preventive stamp on sales invoices and corrections generated using the Eco and sPrint modules. This stamp appears after enabling the appropriate parameter in the system configuration, allowing for better control and security of financial documents.
Additionally, the sPrint system has introduced a number of new printouts that streamline daily work, including: returns and complaints records, physical inventory, corrections to RR invoices (quantity, value, VAT), lists of documents related to deposits, and proforma invoice summaries. These features facilitate more transparent management of commercial and financial documentation.
